POLICIES & GUEST PROTOCOL

CANCELLATION
• Individual booking cancellation: 48 hours notice prior to tour is required and a 20% administration fee applies.
• Group booking cancellation: 10 days notice prior to tour is required and a 20% administration fee applies.
• Cancellations with less than the required notice are 100% non-refundable.

WEATHER
• The company reserves the right to cancel when extreme weather and wind impacts safety.
• We operate our tours & programs in the rain.

GUEST PROTOCOL
• Tours start promptly.
• Arrive 15 minutes prior to the tour start. We kindly request that you check in with your Cultural Land Ambassador 15 minutes before your scheduled tour.
• Late guests or missed tours are not reimbursed.

PAYMENT METHODS

• Credit Card - Private payment link will be sent via email OR book online.

• EFT - Banking information will be provided via email.

• Cheques - Mailed to: 334 Skawshen Rd, West Vancouver BC, V7P 3T1 Canada

• E-Transfer - emailed to info@talaysay.com

• 50% deposit required at the time of booking to secure reservation.

• Full payment required 14 days before the start of the tour to confirm reservation.

Virtual Program Booking Policy

Minimum Participant Requirement

All virtual programs are subject to a minimum billable participant count of 20 participants.

Bookings with fewer than 20 registered participants will be charged at the equivalent of 20 participants.

Participant Registration

Virtual program fees are based on the number of registered participants, not the number of attendees who ultimately join the live session.

Each participant must register individually using the registration link provided. Registration links may not be shared between participants.

Organizations are responsible for ensuring all intended participants complete registration prior to the program.

Attendance and No-Shows

Participants who register but do not attend the live session are considered no-shows and remain billable.

Registered participants who are unable to attend the live session for any reason remain billable, as staffing, facilitation, hosting, and administrative preparations have already been completed on their behalf.

Participant Count Adjustments

If the number of registered participants is lower than the number originally purchased, the booking party may request a partial refund for the difference between the purchased and registered participant counts.

The following conditions apply:

  • A minimum billable participant count of 20 participants will always apply.

  • Approved refunds are subject to a 10% administrative fee.

  • Participant counts are determined using the final Zoom registration report generated immediately prior to the start of the program.

Shared Viewing

Where multiple participants attend from a shared device, boardroom, classroom, or meeting space, all participants present must be included in the participant count for billing purposes.

Talaysay Tours reserves the right to invoice for additional participants where unregistered attendance or shared viewing exceeds the number of registered participants.

Cancellations

Standard Rentals:

  • May 15 – September 15:

    • 72 hours written notice required for cancellation.

    • Bookings of 4+ guests or during long weekends: 5 days written notice required.

  • Without proper notice:

    • 50% of reservation will be charged to the credit card on file.

    • Less than 24 hours’ notice: full reservation charged to the credit card on file.

  • Day Rentals:

    • Weekdays (excluding long weekends): Cancellations within 72 hours—50% non-refundable.

    • Weekends: Cancellations within 5 days—50% non-refundable.

    • Long weekends: Full payment required at booking, non-refundable.

Multi-Day Rentals:

  • Weekdays: Cancellations within 72 hours—50% non-refundable.

  • Weekends: Cancellations within 5 days—non-refundable.

  • Long weekends: Full payment required at booking, non-refundable.

Guided Tours:

  • Cancellations less than 72 hours in advance will incur a $75 fee/ guest in addition to the admin fee, as we will have booked a guide for your tour.

  • Cancellations less than 48 hours in advance are non-refundable

  • All cancellations prior to 72 hours incur a 20% admin fee

Refunds:

Refunds outside of these terms are at the sole discretion of Talaysay Paddle Centre management. Refunds due to poor weather are also at our discretion, and are based on local marine weather conditions and forecasts. Please note: rain or showers are not considered poor weather for kayaking or paddleboarding.

Late Returns

  • Rentals returned late will be charged $20 per seat, per hour (charged at the start of each hour).

  • Our kayaks and paddleboards are in high demand, especially in summer, late returns can impact other guests.

Other Notes

  • When you reserve with us, your equipment is held exclusively for you, and we often turn away other paddlers for your reserved time.

  • Our guests are expected to be prepared for variable conditions, we paddle rain or shine!
